AIInSync Desktop privacy

Local-data desktop app · last updated 2026-11-02

Knowledge base files and vectors stay on your machine. Only prompts and retrieved snippets needed for AI answers are sent to the model provider. AIInSync cloud does not persist desktop project documents or vector stores.

Who this covers

This page is the privacy contract for the AIInSync Desktop app (Microsoft Store and direct download). It applies to Free Desktop, Smart, and Professional sign-in. The general site policy is at aiinsync.com/privacy.

What stays on your PC

  • Projects and chatbot configuration
  • Uploaded documents and crawl artifacts
  • The local vector index / embeddings store
  • On-device Q&A pairs and conversation logs
  • Optional bring-your-own model API keys in the Windows credential locker

AIInSync cloud does not persist desktop project documents or vector stores.

What uses the cloud

  • Account login and plan entitlement (Free Desktop, Smart, Professional)
  • Optional usage metering (token counts only — not document contents)
  • Stateless processing for embeddings and chat when you are not using your own API key

What may leave the machine briefly

  • Text chunks during embedding generation
  • Retrieved context plus the user question during chat answering

These are forwarded to the configured model provider for processing and are not written to AIInSync cloud storage as desktop project data.

Website and intranet crawling

Crawl jobs run inside the desktop process on your network. Public sites, sites you own, and intranet hostnames this PC can reach can be indexed without sending the intranet to AIInSync cloud crawlers.

Machine identifier

The desktop app may send a device identifier with login so entitlement can be checked. It is not used to store your knowledge base in the cloud.
